Getting Started

What are Amenity Passes?

The Alosant Amenity Pass was built to fulfill a pressing need for occupancy control and resident safety at your amenities as communities emerge from COVID-19.

Residents use the app to book their Amenity Passes by choosing the amenity, browsing available timeslots, and selecting the pass that fits their schedule. View a reserved pass from the My Passes smart button at the top of the Home feed. Push notification reminders are sent 10 minutes prior to both the start and end times for each timeslot. Cancellations are accepted in the app up to 30 minutes prior to the pass start time.

Amenity Passes are typically configured to appear in the app within a designated Amenity Pass or Reservations menu for applicable users.

Creating an Amenity Pass is accomplished in multiple steps. Start with your timetable setup. See Create or Update Timetables for Amenity Pass.

Create an Amenity Pass

IMPORTANT

Collect all necessary details prior to creating your Amenity Pass parent record. On save of the parent record, the Amenity Pass details are copied to multiple child Events & Timeslots based on the timetables defined. Once the parent record is saved, details for child records can only be modified on the individual Events & Timeslots.

Before creating your Amenity Pass timeslots, create your amenity page. See Create a Location Page. Be sure to disable Reservable, set the hours on your page, and set the Custom Menu appropriately.

If your Amenity Pass timeslots should be added to a new menu, create the Custom Menu prior to creating your Amenity Pass. See Create a Custom Menu.

Test your pass setup with limited timeslots before creating a final version to publish to your users.

To create new Amenity Pass timeslots, please follow the steps below:

  1. In the Admin sidebar, find and select Amenity Passes.
  2. Select + New Amenity Passes.
  3. Category will always be Regular for Amenity Passes.
  4. Enter the title of the pass in the Name field.
  5. Enter the location of the pass in the Sub Title field.
  6. Add the pass description in the Sub Text field.
  7. Choose one or more Tags for this Amenity Pass. For details on tags, see What are Tags?. (a.) This will be used to create the Select from Available Passes Smart Button. See Link Amenity Pass Timeslots to Smart Buttons.
  8. Do not add a Trigger or a Custom Menu value. Amenity Passes will be shown to app users through a Smart Button. See Link Amenity Pass Timeslots to Smart Buttons.
  9. Disable Show Dates.
  10. Enable Reservation. Reservations are required for Amenity Pass timeslots.
  11. Disable Enrollment Required.
  12. Disable Guests Can Reserve.
  13. Enable Show Reservation Button.
  14. Select applicable Reservation Types and select one default type. To configure reservation types, see Create Reservation Types.
  15. Specify the number of Max Reservations. This number indicates the maximum occupancy allowed for the pass timeslot.
  16. Specify the number of Max Reservations at One Time. This number indicates how many spaces each user is allowed to reserve when booking their timeslot reservation.
  17. Customize the Reserve Button Text by typing in Select this Pass.
  18. Enter optional Email Reminder Text. For details, see What are Email Reminders for Events?.
  19. Do not add Location/Amenity/Page or Club selections.
  20. Disable Guests Can See Date/Time.
  21. Specify your Timetables.
  22. For each date, use the menu to select the appropriate timetable.
  23. Once the week is full, click Next Week to continue filling in timetables for the necessary weeks.
  24. Fill in any number of dates.
  25. Click Save.

RECOMMENDED

Create Amenity Pass timeslots approximately two weeks in advance. This provides the greatest flexibility to modify schedules, change details, or update capacity numbers. The Smart Button can be configured to show a limited number of timeslots, even if created for multiple weeks.

Add an Image to Your Amenity Pass

IMPORTANT

Prior to completing this step, please create your pass timeslots. See Create an Amenity Pass.

To add an image to your Amenity Pass parent record, please follow the steps below:

In the Admin sidebar, find and select Amenity Passes.

Find your Amenity Pass, then select the pencil icon to edit.

Scroll to the bottom of the page, click Add Resource, then add your image. Please follow the Image Guidelines.

NOTE

Images added to the parent Amenity Pass will be copied to each child Amenity Pass timeslot. Be sure to check that your image is sent to all child Amenity Pass timeslots.

Link Amenity Pass Timeslots to Smart Buttons

IMPORTANT

Prior to completing this step, please create your pass timeslots and add your image. See Create an Amenity Pass and Add an Image to your Amenity Pass.

To create the Select from Available Passes Smart Button, please follow the steps below:

  1. In the Admin sidebar, find and select Smart Buttons.
  2. Click + New Smart Button.
  3. Select List Events from the Function menu.
  4. In the User-Visible Text field, type Select from Available Passes.
  5. Copy that text to the Reference Name field.
  6. Assign the appropriate Triggers. This specifies the users that will have access to this button.
  7. Select the Tag matching your Amenity Pass setup.
  8. Set Event Types to Amenity Pass.
  9. Select the Period to show the desired availability of timeslots.
  10. Select the Scope = P&A screen, then choose the amenity page for the Scope P&A.
  11. Click Save.
  12. Triggers will run automatically overnight, or click Run Triggers Now.

Create My Passes Smart Button

IMPORTANT

Prior to completing this step, please create your pass time slots and your Select from Available Passes Smart Button. See Create an Amenity Pass and Link Amenity Pass Timeslots to Smart Buttons.

To create the My Passes Smart Button, please follow the steps below:

  1. In the Admin sidebar, find and select Smart Buttons.
  2. Click + New Smart Button.
  3. Select List Events from the Function menu.
  4. In the User-Visible Text field, type My Passes.
  5. Copy that text to the Reference Name field.
  6. Assign the appropriate Triggers. This specifies the users that will have access to this button.
  7. Select the Event Flag = * Reserved.
  8. Select the Period to show All future dates.
  9. Select the Scope = Home feed.
  10. Adjust the Priority as necessary for placement among multiple Home feed Smart Buttons. The largest number priority is shown first as you view from left to right.
  11. Click Save.
  12. Triggers will run automatically overnight, or see Run Triggers Manually.

Edit an Amenity Pass

On save of the parent Amenity Pass record, the Amenity Pass details are copied to multiple child Events & Timeslots records based on the timetables defined.

To update Amenity Pass parent record details, please follow the steps below:

  1. In the Admin sidebar, find and select Amenity Passes.
  2. Find and edit the desired pass you wish to update.
  3. Update information as needed.
  4. Scroll to the bottom of the page, then click Save.
NOTE

Only the Sub Text and Image updates are sent to the related child records. To update other field values for the child records, see Edit an Event.

To extend timeslots, create a new Amenity Pass. See Create an Amenity Pass and copy details to a new parent record to create additional timeslots.

Find and Modify Amenity Pass Timeslot Details

To quickly find your Amenity Pass timeslots (child records), please follow the steps below:

  1. In the Admin sidebar, find and select Amenity Passes.
  2. Find your Amenity Pass, then select.
  3. This will open the Events & Timeslots list page with search results limited to the name of your Amenity Pass.
  4. Click the Date column header to sort timeslots by date.

NOTE

To see future timeslots only, select today’s date in the Date After field, then click Search.

To modify existing pass timeslots, edit each applicable timeslot from Events & Timeslots. See Edit an Event.

Delete an Amenity Pass

To delete an Amenity Pass, please follow the steps below:

  1. In the Admin sidebar, find and select Amenity Passes.
  2. Select the desired event.
  3. Scroll to the bottom of the event page, then click x Delete.

IMPORTANT

Do NOT delete an Amenity Pass when reservations exist on a related timeslot. This will delete existing reservations.
