This Privacy Policy describes how Alosant, Inc. ("Alosant," "we," "us," or "our") collects, uses, discloses, and protects Personal Information in connection with our marketing website, www.alosant.com, our sales and business development activities, and related offline communications, including phone calls, emails, trade show interactions, events, referrals, demos, webinars, and other business communications.

This Policy applies only to Alosant marketing website and sales activities. It does not apply to Personal Information collected through Alosant community-branded applications, resident platforms, administrative portals, or other customer products and services. Information collected through those products and services is governed by the applicable Alosant Community Privacy Policy and contractual terms.

1. Personal Information We Collect

"Personal Information" means information that identifies, relates to, describes, can reasonably be associated with, or could reasonably be linked, directly or indirectly, with an individual or household. Depending on how you interact with us, we may collect the following categories of Personal Information through our marketing website and sales activities:

  • Identifiers, such as name, business email address, business phone number, mailing address, IP address, online identifiers, and similar contact information.
  • Professional or employment-related information, such as job title, company name, company size, industry, professional profile information, and business role.
  • Inquiry and engagement information, such as messages you send us, demo requests, proposal requests, content downloads, webinar registration, event attendance, meeting notes, sales communications, and follow-up history.
  • Internet or electronic network activity information, such as pages visited, content viewed, referring URLs, navigation paths, browser type, device type, operating system, session activity, cookie identifiers, advertising identifiers, and interactions with our emails, advertisements, or website.
  • Approximate geolocation information, such as general location inferred from IP address. We do not collect precise GPS-level location through the marketing website.
  • Commercial information, such as the products, services, or solutions about which you inquire, your interest in Alosant offerings, and related sales or marketing engagement history.

2. Sources of Personal Information

We collect Personal Information from the following sources:

  • Directly from you, such as when you submit a form, request a demo, register for an event or webinar, download content, communicate with our sales team, or otherwise contact us.
  • Automatically through our website and digital tools, such as cookies, pixels, analytics technologies, advertising technologies, and CRM tracking tools.
  • From offline and sales activities, such as trade shows, conferences, business card exchanges, badge scans, partner introductions, referrals, phone calls, meetings, and direct outreach.
  • From third-party sources, such as lead enrichment tools, business data providers, advertising platforms, social media platforms, referral partners, integrators, event organizers, publicly available professional profiles, company websites, and similar business sources.

3. Sensitive Personal Information

We do not intentionally collect sensitive Personal Information through our marketing website or sales activities, such as government identification numbers, financial account information, precise geolocation, health information, biometric information, racial or ethnic origin, religious beliefs, union membership, or similar sensitive categories. Please do not submit sensitive Personal Information through website forms, demo requests, sales emails, or other marketing communications.

4. Cookies, Pixels, Analytics, and Similar Technologies

Our marketing website and related digital communications use cookies, pixels, tags, scripts, analytics tools, advertising technologies, CRM tracking tools, and similar technologies to operate the website, understand how visitors interact with us, measure marketing performance, support sales and business development activities, personalize content, and deliver or measure advertising.

Personal Information collected through marketing and sales activities is not used to operate, configure, or deliver Alosant community platform products. Platform and community product data is governed by the applicable Alosant Community Privacy Policy and contractual terms.

6. How We Disclose Personal Information

We may disclose Personal Information collected through our marketing website and sales activities in the following circumstances:

  • Service providers and processors. We disclose Personal Information to vendors, service providers, contractors, and processors that perform services on our behalf, such as hosting, website analytics, CRM, marketing automation, email delivery, SMS communications, lead enrichment, advertising support, event management, security, business intelligence, and professional services. We require these parties to process Personal Information only for authorized purposes and to maintain appropriate confidentiality, security, and data protection obligations.
  • Advertising and analytics partners. We may disclose limited information, such as cookie identifiers, advertising identifiers, hashed contact information, IP address, device information, website activity, or engagement history, to advertising and analytics partners to help us measure marketing performance, create or manage advertising audiences, deliver relevant advertising, and understand how visitors interact with our website and communications.
  • Event sponsors, co-sponsors, and referral partners. If you interact with us through a co-sponsored event, partner referral, webinar, trade show, or similar activity, we may disclose limited business contact and engagement information to the relevant sponsor, co-sponsor, referral partner, or event organizer where appropriate and consistent with the context of the interaction.
  • Professional advisors. We may disclose Personal Information to legal, accounting, financial, insurance, security, and other professional advisors as needed for business, compliance, risk management, or legal purposes.
  • Legal and safety purposes. We may disclose Personal Information if required by law, regulation, subpoena, court order, legal process, or government request, or if we believe disclosure is necessary to protect rights, property, safety, security, or to investigate suspected fraud, misuse, or unlawful activity.
  • Business transactions. We may disclose or transfer Personal Information in connection with an actual or proposed merger, acquisition, financing, reorganization, sale of assets, due diligence process, bankruptcy, or similar business transaction.

7. Sale, Sharing, and Targeted Advertising

Alosant does not sell Personal Information for money. However, some privacy laws define "sale," "sharing," or "targeted advertising" broadly to include certain advertising, analytics, or marketing activities involving cookies, pixels, hashed contact information, advertising identifiers, or similar technologies.

To the extent our use of advertising, analytics, or marketing technologies is considered a sale, sharing, or targeted advertising under applicable law, you may opt out by contacting us at info@alosant.com. We will process verified requests in accordance with applicable law and will take reasonable steps to suppress your Personal Information from targeted advertising or similar marketing activities that we control.

Certain third-party advertising platforms and networks operate their own privacy and advertising controls. 8. Your Privacy Choices

Marketing emails.

You may unsubscribe from marketing emails at any time by clicking the unsubscribe link included in those emails. We may continue to send transactional, service-related, or relationship-based communications, such as responses to direct inquiries, even after you unsubscribe from marketing emails.

Text messages.

If you have consented to receive text messages from us, you may reply "STOP" to unsubscribe or "HELP" for assistance. Message and data rates may apply. Consent to receive marketing text messages is not a condition of purchase.

Targeted advertising and marketing suppression.

You may contact us at info@alosant.com to request that we suppress your Personal Information from targeted advertising activities that we control, lead enrichment, marketing communications, or other marketing and sales uses where required by applicable law.

Cookies and third-party advertising preferences.

You may manage cookies through your browser settings and may adjust advertising preferences through third-party advertising platforms and industry opt-out tools. These controls may be browser-, device-, or platform-specific.

9. U.S. State Privacy Rights

Depending on your state of residence and subject to applicable legal thresholds, exceptions, and verification requirements, you may have rights regarding Personal Information we maintain about you. These rights may include the right to:

  • Request correction of inaccurate Personal Information.
  • Request deletion of Personal Information, subject to applicable exceptions.

Authorized agents may submit requests on behalf of individuals where permitted by applicable law, and we may require proof of authorization and verification of the individual’s identity.

We will respond to verifiable privacy requests within the timeframes required by applicable law. If we deny a request, we will explain the basis for the denial and, where required by law, provide instructions for submitting an appeal. We will not discriminate against you for exercising privacy rights. As a Montana-headquartered company, we recognize the rights afforded to Montana residents under the Montana Consumer Data Privacy Act (Mont. Code Ann. § 30-14-3001 et seq.), which became effective October 1, 2024.

10. Additional Notice for California Residents

This section applies to California residents and supplements the other sections of this Policy. In the preceding 12 months, we may have collected the following categories of Personal Information through our marketing website and sales activities: identifiers; professional or employment-related information; internet or other electronic network activity information; approximate geolocation information derived from IP address; commercial information; and inquiry or engagement information.

We collect these categories from the sources described in this Policy and use them for the business and commercial purposes described in this Policy. We may disclose these categories to the categories of recipients described in this Policy, including service providers, processors, advertising and analytics partners, CRM and marketing technology providers, event partners, professional advisors, legal authorities, and parties involved in business transactions.

We do not sell Personal Information for money. We may use advertising, analytics, and marketing technologies that may constitute "sharing" or targeted advertising under California law. California residents may opt out of sale or sharing by contacting us at info@alosant.com.

We do not knowingly sell or share Personal Information of individuals under 16 years of age.

11. Notice for Nevada Residents

We do not sell Personal Information as defined by Nevada law. Nevada residents may submit requests regarding sale opt-out rights by contacting us at info@alosant.com.

12. International Visitors

Alosant is based in the United States. If you access our website or engage with our sales activities from outside the United States, your Personal Information may be transferred to, stored in, and processed in the United States or other jurisdictions where we or our service providers operate. These jurisdictions may have data protection laws that differ from those in your country.

If you are located in the European Economic Area, the United Kingdom, or Switzerland, you may have rights under applicable data protection laws, including rights to access, correct, delete, restrict, or object to processing of Personal Information, and to request data portability. 13. Children’s Privacy

Our marketing website and sales activities are intended for business professionals and are not directed to children. We do not knowingly collect Personal Information from children under 13 through alosant.com. If you believe a child has provided us Personal Information through our marketing website or sales activities, please contact us at info@alosant.com and we will take appropriate steps to delete the information.

14. Third-Party Links and Platforms

Our website, emails, advertisements, and other communications may contain links to third-party websites, social media platforms, partner pages, event sites, or other external services. We are not responsible for the privacy practices, content, or security of third-party websites or platforms. This Policy applies only to Personal Information collected by Alosant through our marketing website and sales activities.

15. Security

We maintain reasonable administrative, technical, and physical safeguards designed to protect Personal Information collected through our marketing website and sales activities from loss, misuse, unauthorized access, disclosure, alteration, and destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

In the event of a data security incident affecting Personal Information, we will investigate the incident, take appropriate remedial steps, and notify affected individuals and applicable regulatory authorities as required by applicable state and federal law. Notification will be provided in the manner and within the timeframes prescribed by law.

16. Retention

We retain Personal Information for as long as reasonably necessary to fulfill the purposes described in this Policy, maintain an active or prospective business relationship, comply with legal, accounting, tax, security, and regulatory obligations, resolve disputes, enforce agreements, and support legitimate business needs.

Retention periods vary based on the nature of the information and the relationship. For example, CRM prospect and customer records may be retained while the business relationship or sales opportunity is active and for a reasonable period thereafter; email marketing records may be retained to manage subscriptions and suppression lists; website analytics and cookie-related information may be retained according to the applicable tool settings; event and trade show contacts may be retained for a reasonable business development period; and records subject to legal, security, or compliance obligations may be retained as necessary to satisfy those obligations.

When Personal Information is no longer needed, we take reasonable steps to delete, de-identify, or anonymize it, subject to applicable legal and business requirements.
